CBD Compliance Documentation for Medical Practices: Everything CMS Requires
CMS requires your organization to document that the CBD products you're providing meet all program compliance requirements. Here's every document we provide and what role it plays in your CMS implementation plan.
What CMS Needs from Your CBD Supplier
Your implementation plan must demonstrate that products meet the program's compliance requirements. CMS reviewers look for evidence of: product compliance (THC levels, lab testing), farm compliance (Farm Bill status, licensing), and supply chain traceability (where do these products actually come from). Our documentation package addresses all three.
Complete Document List
Document 1: Certificates of Analysis (COAs)
Batch-specific COAs for all products from an accredited independent laboratory. Each COA covers: full cannabinoid panel (CBD, CBG, CBN, delta-9 THC, total THC, and others), heavy metals panel (lead, arsenic, mercury, cadmium), pesticide residue panel, microbial contamination panel (E. coli, salmonella, yeast, mold), and residual solvents panel. COAs confirm both the 0.3% delta-9 and 3mg total THC per serving requirements.
Document 2: USDA Organic Certification
Our current USDA Organic certificate for our hemp growing operation in Wilmore, Kentucky. Organic certification confirms no synthetic pesticide or fertilizer use and annual third-party farm inspections.
Document 3: State Hemp Grower License
Our Kentucky Department of Agriculture hemp grower license confirming licensed operation under Kentucky's state hemp program, which operates under the 2018 Farm Bill.
Document 4: 2018 Farm Bill Compliance Letter
A formal letter on our letterhead confirming that our hemp is grown, harvested, and processed in compliance with the 2018 Agriculture Improvement Act (Farm Bill) and that all products contain less than 0.3% delta-9 THC by dry weight.
Document 5: Product Specification Sheets
For each oral product: product name, format, CBD content per serving, total THC per serving, serving size, ingredients, storage instructions, and batch number cross-reference to COA.
Document 6: Sample CMS Implementation Plan Language
Editable template language for all four required plan sections: product selection and dosing, distribution process, beneficiary eligibility criteria, and safeguards. Adapted to reference our specific products and ready for your team to customize.
Document 7: Third-Party Laboratory Accreditation
Accreditation documentation for our testing laboratory partner, confirming they operate under ISO 17025 standards for cannabis testing laboratories.
Document 8: Supplier Reference Letter (on request)
A letter on our letterhead confirming our compliance status, supply capabilities, and willingness to support your organization's CMS program. Available on request for inclusion in your implementation plan.
How Each Document Supports Your Plan
The COAs are your primary product compliance evidence, attach them directly to the product selection section. The USDA cert, state license, and Farm Bill letter establish supplier credibility and traceability for the safeguards section. Product spec sheets go in the product selection section alongside COAs. Sample plan language reduces drafting time across all four sections.

Documentation FAQs
Can we use your COAs directly in our CMS implementation plan?
Yes. Our batch-specific COAs are issued by accredited independent laboratories and can be attached directly to your CMS implementation plan submission as product compliance documentation. Each COA is identified by product name and batch number. We recommend including the COA for the specific batch you plan to initially distribute.
Do your COAs include total THC or just delta-9?
Our COAs include both delta-9 THC and total THC measurements. Total THC is the relevant figure for CMS compliance (less than 3mg per serving). We make sure total THC is prominently visible on every COA. If you need clarification on reading a specific COA, contact us and we'll walk you through it.
How do we get the full documentation package?
Request it through our wholesale inquiry form or call (859) 359-6407. We'll send the complete package by email within one business day. The package includes all documents listed on this page in PDF format, ready for your implementation plan submission.
How often are COAs updated?
We test every new production batch before it ships. When you order wholesale, you receive product from a specific batch with a corresponding COA. As batches change, we provide updated COAs. If you're using our products across multiple months, you may receive products from multiple batches, each with its own COA. We notify wholesale partners when batch numbers change.
